Volunteer management for nonprofits with real requirements

Nehemiah helps nonprofits recruit, screen, train and schedule volunteers without a spreadsheet. Each role gets its own requirements, and hours roll up into reports with their dollar value.

What matters

What should a nonprofit look for in volunteer software?

Four things: requirements that differ by role, a sign-up that starts onboarding on its own, hours you can report to funders, and follow-up that doesn’t depend on one busy coordinator. Nehemiah is built around all four, for programs where screening and training aren’t optional.

What to look forHow Nehemiah does it
Requirements by role Each role has its own checklist: agreements signed on screen, trainings, documents and staff checks such as background checks, each with its own renewal.
Sign-up to first shift Your form creates the volunteer’s record, and the Volunteer Concierge takes it from there: the welcome, the paperwork asks, reminders and a first-shift invitation.
Hours for funders Check-ins and completed shifts record hours. Reports show hours by month and by role and what that time is worth, and every chart downloads as a CSV.
Follow-up that doesn’t depend on one person 20+ Autopilot recipes send reminders, thank-yous and “we miss you” notes. Your team approves group sends and role approvals.
Your data in and out Import a spreadsheet (you match the columns), merge duplicates and export to CSV whenever you like.
Honest limits today No integrations with donor CRMs or background-check vendors, no group sign-ups yet, and text messages are coming soon.

Programs

Which programs does Nehemiah fit?

Programs where volunteers need screening, training or a signed agreement before they serve. Here’s how six common ones look.

  • CASA and guardian ad litem

Add pre-service training and yearly in-service training as requirements (in-service renews each year), plus a background check your team records. Virginia, for example, requires 30 hours of pre-service training and 12 hours of in-service training a year.

  • Mentoring

Mentors sign a youth protection policy on screen, finish mentor training and get a background check your team records. A person approves each mentor for the role before they’re scheduled.

  • Survivor services

Add a confidentiality agreement to every role that hears client details. Documents stay private to authorized staff, volunteers see only their own records, and Nehemiah’s AI never answers a sensitive message on its own.

  • Build days

Projects list the help they need, like 4 builders and 8 garden helpers. Everyone signs the waiver on screen, and skilled trades also get an in-person safety briefing that the project lead checks off.

  • Community programs

The community template mixes projects with specific needs and ongoing positions like “Front desk: 3 volunteers × 6 hours a week”, plus drivers with a license and insurance on file and screened childcare volunteers.

  • Office and skilled volunteers

Ongoing office help (2 volunteers × 4 hours a week) and skilled volunteers who share design, accounting, legal, IT or grant-writing skills, from the nonprofit template.

Screening and training

How do you track training hours and background checks?

As requirements on the roles that need them. Volunteers upload certificates or sign on screen, your team records background check results, and Nehemiah reminds people before anything renews and can keep them off the schedule until it’s done.

Defaults from Nehemiah’s starter templates. Every requirement, renewal and role can be changed.
RequirementWho completes itRenews
Background check Your team orders it through your screening vendor and records the result Every 2 years by default
Training Pre-service, in-service, mentor training The volunteer uploads a certificate, or your team checks off an in-person session Yearly by default
Agreement Confidentiality, youth protection, waiver The volunteer signs on screen Yearly by default
Document Driver’s license, insurance card The volunteer uploads a photo from their phone Licenses before they expire; insurance every 6 months
Form Emergency contact The volunteer answers a few questions As often as you set
  • Reminders go out 30, 14, 7 and 1 days before anything expires, with a link to renew.
  • With the “Pause scheduling when something expires” recipe on, a lapse puts the person on hold and gives your team a to-do.
  • Checks only your team can do are never sent to volunteers; your team marks them done.
  • Each training is tracked as done, with its date and certificate. Nehemiah doesn’t total training hours.

Sign-ups

Can volunteers sign up from our website?

Yes. Every organization gets a branded public page and join form. Put the form on your website with an embed snippet, share the link, or print its QR code on a flyer. Each sign-up creates the volunteer’s record and starts their onboarding.

  1. Share your form

Send the link, paste the embed snippet into your website, or print the QR code on flyers. Every organization gets a branded public page and join form, and the form builder makes more.

  2. Nehemiah starts onboarding

The sign-up becomes a volunteer record. Teammates who want sign-up alerts get a heads-up, and the Concierge sends the welcome and asks for what the role needs.

  3. They pick a first shift

Once cleared, they’re invited to an open shift that fits, or they browse your open needs page and claim a spot themselves.

Reports

How do we report volunteer hours and their value?

From Reports. Hours come from check-ins and completed shifts. You’ll see hours by month and by role, the value of that time at $36.14 an hour (Independent Sector’s national value of a volunteer hour, released April 2026), sign-ups by source and how new people move through onboarding. Every chart downloads as a CSV for your grant reports.

  • Pick any date range, like your grant period; every report follows it.
  • When a shift used kiosk check-in, people who never checked in aren’t credited automatically, so grant numbers stay honest.
  • Volunteers see their own hours in their portal and can print a certificate of service.

Programs and organizations

Can one login run several programs or organizations?

Yes. Run several programs inside one organization with teams, or keep separate organizations, each with its own volunteers, roles, branding and settings, under one staff login. Volunteers who serve more than one use a single portal login.

  • One organization, several programs

Group volunteers into teams like Youth, Food Pantry and Projects, with one volunteer list and one public sign-up page.

  • Several organizations, one login

Switch between organizations from one staff login. Each keeps its own volunteers, roles, requirements, emails and settings, and a volunteer who serves more than one uses a single portal login.

FAQ

Nonprofit questions

How do background checks work for nonprofit volunteers in Nehemiah?

You order checks through your screening vendor the way you do today, then record the result in Nehemiah; it doesn’t run checks itself. It keeps the renewal date and shows your team what’s coming due. There’s no background-check vendor integration today.

Volunteer compliance tracking

Can Nehemiah total our volunteers’ training hours?

Not today. Each training is tracked as done, with its date, its renewal and the certificate on file. Service hours are totaled for you from check-ins and completed shifts.

Can we keep client records in Nehemiah?

No. Nehemiah manages volunteers, not the people you serve. Keep client records in your case management system, and keep client details out of volunteer notes and emails.

Security and privacy

Does it connect to our donor database?

Not today. There are no integrations with donor CRMs. Import people from a CSV file (you match the columns), merge duplicates, and export your data to CSV whenever you like.

What value per volunteer hour do the reports use?

$36.14 an hour, Independent Sector’s national value of a volunteer hour, released April 2026. Reports multiply hours served by that figure.

Do volunteers need an account or password?

No. Volunteers sign up on your form, answer shift emails with one-tap buttons, and open their portal with a sign-in link sent by email. There’s no app to install and no password to remember.

How much does it cost?

Nehemiah is in early access, so there’s no public price list yet: each organization’s price is agreed with us directly.
