The Volunteer Concierge welcomes each new person, asks for what their role needs, follows up and books a first shift.
AI teammate
An AI teammate for your volunteer program
Nehemiah’s AI onboards new volunteers and sets up your program as you describe it. Group sends, deletions, bulk changes and role approvals still wait for a person.

The short answer
What can AI do for a volunteer coordinator?
The follow-up that fills a coordinator’s week: welcoming new people, chasing paperwork, checking documents, sorting replies and drafting emails. In Nehemiah, the AI does that work itself, inside limits you set, and hands anything that needs judgment to a person.
-
-
It reads uploads for the right document, the name and the dates, so your reviewers confirm instead of typing.
-
Ask Nehemiah builds roles, schedules, forms and emails from a sentence, typed or spoken.
-
Sorts volunteer replies
Rolling outRoutine answers handled, everything else sent to a person with a drafted reply.
Volunteer Concierge
What is the Volunteer Concierge?
The part of Nehemiah that takes each new volunteer from sign-up to a first shift. Plain rules decide what happens and when; the AI writes each message in your voice and keeps track of what each volunteer has done. Reading their email replies is rolling out.
-
Sign-up
Maya joins as a phlebotomy volunteer
She writes “Thursday afternoons, 1 to 5.” Nehemiah saves it as every Thursday, 1:00 to 5:00 PM, opens an “Approve Maya for Lab / Phlebotomy” to-do for your team, and sends one welcome asking only for what she can do now: two agreements and an emergency contact.
-
Approval
A coordinator approves her for the role
That decision is always a person’s. Within the hour (during sending hours, 9 to 6, Monday to Saturday), Nehemiah asks for the role’s own paperwork (TB, hepatitis B, MMR and more), the first few items each with a one-tap link. It never asks her for staff items like the background check.
-
Follow-up
Reminders, not nagging
If she goes quiet, reminders go out 2, 5, 9 and 14 days after her last step, between 9 AM and 6 PM, Monday to Saturday, never more than 3 a week. After the fourth, your team gets a “Call Maya” to-do.
-
Review
Her uploads are pre-checked
Nehemiah reads each document for the kind, her name and the dates. At Full, the default once the AI is turned on, clear reads are approved for you; anything else waits in your review queue with the AI’s notes.
-
First shift
She’s invited to the soonest shift that fits
Once she’s approved and every required item is done, Nehemiah invites her to the next open Lab / Phlebotomy shift she’s free for in the next 3 weeks, with one-tap Yes and No buttons. Shift reminders and thank-yous take over from there.
Anything the Concierge saved or offered (her availability, a shift invitation, a to-do) can be undone from her page, and your team can pause her onboarding or run the next step now.
Autonomy
How much does it do on its own?
You choose one of four levels, from Off to Full. New organizations start with everything on, and none of it goes past a safe baseline until an owner or admin reviews a plain-language notice and turns it on.
| Level | What Nehemiah does | Replies |
|---|---|---|
| Off | Doesn’t onboard anyone. Your Autopilot recipes still send their usual welcome and paperwork emails. | Stays as you set it |
| Assist | Writes each next message and lines up a first shift. Your team reads it and clicks Send. | Suggest: drafts answers for your team |
| Autopilot | Welcomes new people, asks for each thing they still need, follows up, gets their availability and invites them to a first shift. Your team approves roles, and documents wait for your team unless “Approve clear documents” is on. | Handle the simple ones |
| Full | Everything in Autopilot, plus approving documents it can read clearly. Role approvals and staff-only checks still come to you. | Handle the simple ones |
“Read clearly” means readable, the right kind of document, the volunteer’s name, no problems found, not expired, and at least 90% confidence. Anything less waits for a person.
Turning on Nehemiah’s AI
New organizations default to “AI handles everything”. Before any of it starts, an owner or admin sees a short notice with these preselected:
- Onboarding new volunteers at Full
- Volunteer replies set to “Handle the simple ones” (reply handling is rolling out)
- Every uploaded document read, including health records such as TB results and immunizations
- Documents it reads clearly approved without waiting for a person
The notice lists what the AI will do with everything preselected. An owner or admin can change any choice, then ticks “I understand and agree” on behalf of the organization. The acceptance is logged, and every choice can be changed later in Settings.
Until an owner or admin accepts the notice, the AI stays at a safe baseline: onboarding at Autopilot at most, replies at drafts only (Suggest) at most, no documents approved by the AI, and uploads it identifies as health records (TB, immunizations and similar) held back from it.
Replies
How does it handle volunteer replies?
Today, replies go to your organization’s own reply-to address, so a person reads every one. AI reply handling is rolling out: Nehemiah will answer routine replies itself and send everything else to a person with a drafted answer.
Handled on its own
With replies set to “Handle the simple ones”. You choose which kinds.
- Confirming a shift
- Can’t make it, or canceling a shift (the spot is offered to someone else)
- Availability changes and dates away
- Unsubscribing, or “not interested”
- Thank-yous and out-of-office replies, closed quietly
- Documents emailed during onboarding, filed for your team to review
- Questions your saved answers cover, if you turn that on
Always sent to a person
With a drafted answer your team can edit and send.
- Anything sensitive, medical or about safety
- Complaints
- Anything unclear, or that the AI isn’t confident about
- A reply from an address that doesn’t match the volunteer on file
Ask Nehemiah
Can I set Nehemiah up by talking to it?
Yes. Describe what you need, by typing or by voice in browsers that support speech input, and Ask Nehemiah sets up roles, requirements, schedules, forms, Autopilot recipes and email templates. Every change is logged with a before and after, and you can undo it.
- “Add a Saturday pantry shift every other week, 9 to 1, for 3 volunteers.”
- “Who has a TB test expiring next month?”
- “Make BLS required for every clinical role.”
- “Draft this Sunday’s volunteer email.”
- “Turn on birthday notes.”
It also finds people, answers questions about coverage and reports, and drafts emails. A send to a group, a deletion or a change to more than 25 people shows up as a card that waits for your Approve click.
Guardrails
What does the AI never do without a person?
Send to a group, delete anything, change more than 25 people at once, or approve someone for a role. Those always wait for your team, at every level.
- When Nehemiah’s AI wants to send to a group, delete anything or change more than 25 people at once, it waits for a person to approve.
- Approving someone for a role is always a person’s call.
- Staff-only checks, such as background checks and verifications, are marked done by your team.
- Any reply or message that’s sensitive, medical, about safety or a complaint goes to a person.
- Until an owner or admin reviews a plain-language notice and turns the AI on, it approves no documents, and Nehemiah holds back uploads it identifies as health records from it. Either can be switched off later in Settings.
- Turning on an Autopilot recipe through Ask Nehemiah takes effect right away. It’s logged, and you can switch it off again.
- What a volunteer writes is treated as information, not as instructions to the AI.
- Onboarding emails go out at most 3 a week per person, 48 hours apart, inside a daytime window.
- Every AI action is logged. What it saved or offered can be undone.

FAQ
Questions people ask
Can I turn the AI off?
Yes. Set onboarding to Off and reply handling to Off in Settings, and your team does everything by hand. Your Autopilot emails still go out unless you turn those off too.
What happens when the AI isn’t sure?
It hands the decision to a person. A document with a problem stays in your review queue with the AI’s notes. Once reply handling is on, a reply it isn’t sure about goes to your team with a drafted answer, and onboarding emails to that volunteer pause until someone has looked.
Can we undo something the AI did?
Yes. Ask Nehemiah logs every change with a before and after, and you can undo it. On a volunteer’s page, anything the Volunteer Concierge saved or offered (availability, a shift invitation, a to-do) has an Undo button, and you can pause onboarding for that person.
Which AI does Nehemiah use?
