Rotations

How do churches schedule volunteers every week?

Set up Sunday morning and midweek serve times once, then give each volunteer a rotation, like every other Sunday or the first Sunday of the month. Nehemiah puts them on the schedule, asks each month which dates they can’t serve, and invites others when a spot opens.

  • A rotation for each person. Every week, every other week, monthly or the first Sunday, saved as a standing commitment that puts them on the schedule.
  • A monthly blockout check. On the 20th, active volunteers are asked which dates they can’t serve next month. All clear is one tap.
  • Their week, every Sunday evening. At 5 PM each Sunday, volunteers get their week ahead plus a few open spots they could fill.
  • Open spots filled for you. 10 days out, Nehemiah invites available people with a one-tap Claim this spot link. When someone can’t make it, it invites the next one.
  • Reminders with buttons. 3 days and 1 day before, with “Yes, I’ll be there” and “Can’t make it”.
  • Thank-yous, too. A thank-you after serving, plus birthday and serve-anniversary notes.

Child safety

How do you keep kids ministry screening current?

Kids and student ministry roles carry their own checklist: a background check, a state child abuse registry check, abuse prevention training, your child safety policy signed on screen, and a rule that volunteers attend for six months first. Nehemiah reminds people before anything renews and holds them off the schedule if something lapses.

From Nehemiah’s church template. Kids Ministry is for ages 18 and up and Student Ministry 21 and up, and a person approves each volunteer for both. Change any of it.
RequirementWho completes itRenews
Background check Your team records the result from your screening vendor Every 2 years
State child abuse registry check The template uses South Carolina’s DSS Central Registry as the example Your team requests it and records the result Every 2 years
Abuse prevention training The volunteer uploads the certificate Yearly (many churches use every 2 years)
Child safety policy Two-adult rule, check-in and check-out, communication The volunteer signs on screen Yearly
Six months of attendance The volunteer checks a box to confirm it Once
Serve team covenant Every team The volunteer signs on screen Yearly
  • Reminders go out 30, 14, 7 and 1 days before an item expires, with a link to renew.
  • If something expires, the person is put on hold, gets a kind note about what’s needed, and your team gets a to-do to check their upcoming serve dates.
  • Auto-fill only invites people whose blocking items are done, and the check-in kiosk flags anyone missing one.
  • Nehemiah doesn’t run background checks. Record results from the vendor you use today.

Urgent alerts

How do I tell everyone services are canceled?

Send an urgent alert. Pick “Services canceled (weather)”, choose the Sunday, and switch on “Also cancel all shifts and tell everyone scheduled”. It goes out by email right away, even during quiet hours, and everyone’s sign-ups for that day are canceled for you.

  • It reaches your whole list or a saved group, plus everyone who was scheduled that day.
  • People who unsubscribed are never contacted.
  • A coordinator can draft it and save it for an admin to send.
  • Text messages: coming soon. Email works today.

The weekly “This Sunday” email

The church template includes a “This Sunday” email that goes to everyone on your list every Thursday at 10 AM. Update it each week with serve needs and news, and Autopilot sends it. It starts switched off until you replace the sample text, so nothing goes out half-written.

A fictional church’s snow-day alert. Nothing sends until you review it.

For volunteers

Do volunteers need an app or a password?

No. Volunteers sign up on your form and answer serve-date emails with one-tap buttons. When they want to see their schedule or update their availability, they open their portal with a sign-in link sent by email.

  • No app to install and no password to remember. Their portal opens with a sign-in link sent by email.
  • Serve-date emails have big buttons: “Yes, I’ll be there”, “Can’t make it” and “Claim this spot”.
  • Availability can be written in their own words, like “every other Sunday morning”.
  • Agreements like the child safety policy are signed on screen, and certificates upload from a phone.
  • Serve dates can go straight onto their Google or Apple calendar.

Sign-up sheets

Can we run meal trains and event sign-ups?

Yes. Both sit next to your Sunday serve times as opportunities, and volunteers pick a spot and sign up in a few taps.

  • Meal trains

A meal train is a sign-up sheet: list the dinners a family needs, with drop-off notes like a food allergy, and people pick one.

  • Events and outreach

An event like a fall festival lists the help it needs by team. Screened roles still apply, so only cleared volunteers serve in the kids zone.

Planning Center

Does Nehemiah replace Planning Center?

No. Planning Center is built for church management and worship planning. Nehemiah focuses on volunteer follow-up: welcoming new volunteers, keeping screening current and filling open serve dates.

Planning Center’s AI page lists an MCP connector, AI-built lists in People and “Ask AI” help answers. It doesn’t describe scheduling volunteers or replying to them (checked October 18, 2026).

FAQ

Church questions

Does Nehemiah check children in?

No. Nehemiah’s kiosk checks volunteers in and records their hours. Keep using your children’s check-in system for kids.

Can church members who don’t serve get the weekly email?

Yes. People who fill out the connect card land in the Guest / Contact stage. They get the emails you send to everyone, and because requirements belong to serve roles, they never get paperwork reminders.

Can teenagers serve?

Yes, on teams that allow it. The church template sets a minimum age for each team (greeters 12, worship 13, production and café 14, ushers, parking and facilities 16), and kids and student ministry are for adults. Change any of them.

How are kids ministry background checks tracked?

Your team orders checks through the vendor you use today and records the result in Nehemiah, which doesn’t run checks itself. It keeps track of when each one is due again, and a volunteer is never asked for a staff-only check.

Volunteer compliance tracking

Do you send text messages?

Not yet. Text messages are coming soon. Volunteers will opt in on your sign-up form, and STOP and HELP will work. Email works today.

Volunteer communication

How much does it cost?

Nehemiah is in early access, so there’s no public price list yet: each organization’s price is agreed with us directly.
