What is Nehemiah?

Nehemiah is volunteer management software by Bytesize Data Solutions in Charleston, SC. It keeps your volunteers’ records, schedules and paperwork in one place, and its AI teammate does the follow-up: onboarding new volunteers, asking for paperwork, sending reminders and filling open shifts. It’s in early access.

How Nehemiah works

Who is it for?

Volunteer programs where people and paperwork both matter: free and charitable clinics, nonprofits with screening and training rules (such as CASA, mentoring, survivor services and Habitat affiliates), churches, food banks and community programs.

Does it replace my volunteer spreadsheet?

Yes. Import your list from a CSV file (you match the columns), merge any duplicates, and Nehemiah becomes the record of who your volunteers are, what they’ve completed and when they serve. You can export your data to CSV whenever you like.

Does it replace SignUpGenius?

For ongoing volunteer programs, yes: Nehemiah adds onboarding, paperwork by role, recurring schedules and follow-up to sign-ups. For a one-off sign-up sheet or collecting payments, SignUpGenius is still a good fit; Nehemiah doesn’t take payments.

Nehemiah vs SignUpGenius

Does it work for more than one organization?

Yes. One staff login can belong to many organizations, each with its own volunteers, roles and settings, and a volunteer can serve several organizations with one portal login.

Is there a mobile app?

There’s nothing to install. Nehemiah works in any phone or desktop browser, and the volunteer portal is built for phones first.

AI

How does the AI decide what to do on its own?

You pick how much it does: Off, Assist (it drafts, your team sends), Autopilot (it sends onboarding emails and first-shift invitations) or Full (it also approves documents it can read clearly, health records included while health-record reading is on). New organizations start at Full once an owner or admin accepts the turn-on notice. Group sends, deletions, bulk changes and role approvals always wait for a person.

The Volunteer Concierge

What always needs a person?

Sending to a group, deleting anything, changing more than 25 people at once and approving someone for a role. Any reply or message that’s sensitive, medical, about safety or a complaint goes to a person too.

AI guardrails

Can I turn the AI off?

Yes. Set onboarding to Off and reply handling to Off in Settings, and your team does everything by hand. Your Autopilot emails still go out unless you turn those off too.

Does the AI read volunteers’ health records?

Yes, once your organization turns the AI on. Reading health records such as TB results and immunizations is part of the default package and is preselected in the plain-language notice an owner or admin accepts first; they can switch it off there or later in Settings. Until the notice is accepted, Nehemiah holds back uploads it identifies as health records (TB, immunizations and similar) from the AI. Licenses and certificates are pre-checked either way.

Security and privacy

Which AI does Nehemiah use?

Nehemiah’s AI runs on Anthropic’s Claude.

Is our data used to train AI?

No. Message content is processed only to provide the service and is not used to train AI models.

Volunteers

Do volunteers need an account or password?

No. Volunteers sign up on your form, answer shift emails with one-tap buttons, and open their portal with a sign-in link sent by email. There’s no app to install and no password to remember.

Can volunteers reply to emails?

Yes. Replies go to your organization’s own reply-to address, so a person always sees them. AI reply handling, where Nehemiah answers the routine replies and drafts the rest for your team, is rolling out.

Volunteer communication

Can volunteers upload documents from a phone?

Yes. They can take a photo or pick a file on their phone, and sign agreements on screen. Your team reviews everything in one queue.

Compliance tracking

Data and privacy

Who owns our data?

Your organization does. Bytesize Data Solutions processes it on your behalf to run Nehemiah.

Security and privacy

Where is our data stored?

In the United States, on Google Cloud (Firebase). Email is sent through Amazon SES.

Is Nehemiah HIPAA compliant?

No. Nehemiah manages volunteer records, not patient records, and we don’t sign BAAs today. Don’t store patient information in Nehemiah.

Security and privacy

Can we export or delete our data?

Yes. Owners and admins can export your organization’s data from Settings. To have it deleted, email support@bytesizeds.com.
